Summary

We plan to host “TrixiCon 2025”, the first dedicated conference for Trixi.jl users and developers, in Cologne, Germany, on March 16–20, 2025. The program will feature talks, tutorials, and a hackathon aimed at consolidating the existing community, aligning long-term strategy, and advancing key features in high-performance scientific computing.

Community benefit

This will be our first in-person event since the start of Trixi.jl five years ago, offering a unique opportunity for intensive exchange over several days. Bringing together the core users and developers will strengthen community cohesion through talks, hands-on tutorials, and joint coding sessions. We will also invite external collaborators and potential future partners to share their perspectives, give talks, and explore possibilities for joint projects. This mix of consolidation and new impulses will accelerate development, improve coordination, and ensure the long-term sustainability of the Trixi.jl ecosystem.

Execution plan

The conference will be jointly organized by Prof. Gregor Gassner (University of Cologne) and Prof. Michael Schlottke-Lakemper, with support from Prof. Gassner’s local team for logistics. The venue at the University of Cologne has already been reserved, and the event dates (March 16-20, 2025) have been communicated to key community members.

We expect approximately 25 paying participants, plus four invited guests who do not have their own funding, and one fee waiver for a participant with limited funding. Attendance will be by invitation to ensure engagement of active users, developers, and selected external collaborators. Each day will begin with talks - both long-format presentations on scientific projects conducted with Trixi.jl and software developments, and short "one-idea talks" to spark discussion - including at least one dedicated session on the long-term direction of the Trixi.jl community. Afternoons will be reserved for tutorials and hackathon-style collaboration, with two large rooms available to accommodate parallel activities. All results from the discussions and hackathon will be shared with participants to support follow-up work.

The total event budget is €16,300, of which €10,800 covers catering and a conference dinner (≈€60 per person per day for five days plus €60 per person for a conference dinner), €3,100 covers travel for invited guests (two US-based and two Europe-based participants), and €2,400 covers accommodation for the invited guests (≈€120 per person per night for five nights). The venue (rooms, cleaning, administration) is provided in-kind by the University of Cologne. We request USD 9,500 (≈€8,100) from the NumFOCUS Small Development Grant. This will keep the participant fee below €330, making the event financially accessible. NumFOCUS will be the main funding source; without this support, participant fees would need to rise significantly, which risks reducing attendance.
