Summary

Adds formal communication plan for publicizing working sessions and training events.

Context

Action item from 2026-06-18 working session. Group discussed communication strategy including:

  • Caroline's book club messaging patterns
  • Flexible attendance messaging
  • Problem submission encouragement
  • Calendar invite strategy

What's Included

Channel Strategy:

  • Town Hall for regular biweekly session announcements (following Caroline's pattern)
  • CoP channel for technical discussions, artifact updates, session follow-ups
  • Practice channels for practice-specific training events

Message Templates:

  • Regular session announcements (Monday before session)
  • Day-before reminders
  • Special training events
  • Session follow-ups
  • Problem submission encouragement
  • Artifact releases

Edge Case Handling:

  • Cancelled sessions
  • Topic changes
  • Guest speakers
  • Problem submitter absent
  • Session goes long

Success Metrics:

  • Total session attendance (not just core members)
  • Problem submissions per week
  • CoP channel activity
  • Quarterly review cadence

What Needs Review

Please review and provide feedback on:

  1. Channel choice: Is Town Hall right for regular announcements, or should we use Water Cooler?
  2. Tone: Are message templates appropriate (casual, friendly, flexible)?
  3. Edge cases: What's missing?
  4. Metrics: Are these the right things to track?

Next Steps

After team review:

  1. Incorporate feedback
  2. Present to Shawn (executive sponsor) for input
  3. Implement starting with next session (2026-07-02)

  - Note problem submitters should attend if able
  - Add global calendar info
  - Remove 'just lurk' language
- Day-before reminder now minimal thread reply
- Session follow-up immediate, focused on action items (matches actual usage)
- Remove Problem Submission Encouragement section (included in regular announcement)
- Remove Artifact Release section (can be in regular announcement)
- Update timing section to reflect changes
- Restructure async participation into sub-bullets (clearer separate ideas)
- Update day-before example: Wednesday/Thursday (matches actual session day)
- Remove 'Session Goes Long' section (not needed)
- Remove 'Approval and Iteration' section (belongs in PR, not doc)
