## Writing the query

**Rule: maximise anchor density.** An *anchor* is a high-specificity term — a product name, person, metric, identifier, or date (`Project Phoenix`, `P75`, `Contoso`, `March 2026`). Generic topic nouns (`deck`, `leadership`, `update`, `meeting`, `latency`, `api`) do not anchor; they match hundreds of thousands of items. Every token that is not an anchor dilutes the query.

**Preferred shape — short, comma-separated anchor groups:**

Well-formed prose also works, because writing a sentence forces you to name the entities. It is simply more tokens for the same anchors. Both beat a bare keyword string.

**Anti-patterns, each observed to degrade results:**

| Quoting a document title you are guessing at | Extraction may lock onto the title's low-IDF words (`review, api, update`) and drop everything else. |
| Three or more queries in one call | Observed to extract terms from a single query rather than the union. Prefer one; two is safe. |

**Verify before you trust the result.** The response's `SearchMetadata.searchTerms` lists the terms actually used. If it shows only generic words, or is missing the entity you care about, the query was diluted — reshape and retry rather than reporting the hits. This check costs nothing and catches the failure mode this page exists to prevent.

## When to Use

Use `retrieve` when the user is **looking for things**:

- Finding documents, mail, or messages by topic — "where is the design doc for Project X?"
- Open-ended catch-up — "any updates I should know about?"
- Ownership and expertise — "who owns the billing system?"
- Ranking or thematic analytics — "top senders", "unread themes"

Scope with `capabilities` when the target surface is known — it removes cross-surface noise at no cost.

One call is usually the whole answer. Follow with `fetch` or `ask` only when you need content *out of* a specific hit.

## Do NOT use `retrieve` for

- **Counting or completeness** — "how many", "all", "every" → `fetch`. `retrieve` returns ranked hits, not a complete set; its hit count is not an answer.
- **Extraction from a known document** → `ask` with `fileUrls`, or `fetch`. `retrieve` finds the file; it does not read it.
- **Literal lookups with a knowable path** → `fetch`.
- **Chained discovery sweeps** — one call, then move on.

## Known limitation: numbers inside charts and images

`retrieve` ranks on extractable text. A figure that appears only as a **chart label, graphic, or image** in a deck is effectively invisible to it — a slide whose headline result is a percentage rendered in a visual will not rank for the metric name in text, even when it is the single best answer available.

When you have strong reason to believe a document exists but content-ranked search keeps missing it, fall back to `ask`, which can also weight sharing and meeting provenance ("shared in the X thread", "presented to Y"). This is a real recall gap, not a query-shaping error — reshaping the query will not fix it.
